HEAD, PROCUREMENT UNIT & STORE

Job Objective/Summary:

Purchase/ provision of all operational materials and systems required by the Microfinance Bank.

Duties and Responsibilities:

  • Carry out periodic stock requirement exercises.
  • Responsible for preparing, processing & supervising purchase orders following the organization’s policies and procedures for all operational items/materials, goods and services.
  • Purchase goods and services within established limits as provided by the Management or Division of Purchases.
  • Contact suppliers for price quotes; prepare requisitions and affix authorizing signature before ordering.
  • Abreast with purchasing policy/procedures, regulations and maintaining purchasing records.
  • Contact vendors or agency representatives to obtain availability and product information or to solicit bids; develop requests for quotations; and confer with vendors concerning new products, damaged goods, delayed payments or related information.
  • Timely reporting of its activities to the approved authority -Supervisor up to ensure they meet the organization’s needs. Could attend trade programs/shows, training and conferences to gather information and get contacts of potential suppliers. The aim is to be sure that a supplier delivers goods and services in the agreed quantities, on time, while observing quality measures.
  • Must be usually strict on delivery time as any slight delay in supply can create problems in many other areas of the business. Carries out market analysis to get the best purchasing deals. This involves acquiring goods and services at prices.
  • Performs this role by comparing prices of goods from different suppliers, analyzing sales patterns and inventory levels of existing stock, and staying up-to-date on market changes that can affect the supply and prices of goods.
  • Responsible for maintaining and reviewing all records of purchased goods, including their costs, deliveries and inventories. He should lead the procurement department in ensuring that it maintains updated data such as information about suppliers’ products and prices. He must have strong organizational skills to find the right data on time, as well as an eye for detail to ensure that the data he does includes the correct information.
  • The Purchasing Manager coordinates his staff and ensures all activities in the procurement department run as scheduled. He might achieve this by holding regular meetings with staff and vendors to discuss the department’s performance and resolve any issues in the procurement process. For instance, he might meet to discuss defective goods or services delivered to a client to determine what went wrong and how to ensure the same problem does not occur in the future.
  • Timely reporting of the Unit’s activities to the approved authority – Supervisor.

Job Requirements:

  • A good bachelor’s degree/HND.
  • Minimum of 5 years relevant experience.
  • Understanding of people management.
  • Strategic planning.
  • Knowledge of basic cost management.
  • Proficiency in the duty of stock management and control.
  • Innovativeness.
  • Prudence.
